I've used Fleetio for four years. We run 25 trucks and the platform ended up costing us about $350 a month after the telematics and inventory add-ons were tacked on - roughly $4,000 a year - and I can't say it paid for itself. The core tracking worked okay, but those “optional” extras felt mandatory if you wanted a real picture of uptime, so the bill kept creeping higher. When a truck went down last winter it took days to get service history from support, by which point we’d already paid an outside shop to get the unit back on the road; that kind of downtime cost wiped out any theoretical savings. If your budget is tight and you need measurable ROI, this felt like paying for a promise more than for results.

The maintenance scheduling alerts are both the reason we stuck with Fleetio and the reason I still hunt for a replacement. They actually stopped trucks from rolling past service intervals - alerts pinged on time, and our downtime dropped after the first quarter; in my 16 years in fleet work around the Pacific Northwest with an 85-truck operation, that kind of consistency matters. But the system's scheduling controls are maddening: you can't easily batch-reschedule groups of units, recurrence rules are stubbornly limited, and telematics sometimes creates duplicate service triggers so you're digging through noise instead of fixing trucks. Mobile sync lags when mechanics update work orders in the field, so the alerts look resolved on the dashboard while the truck sits in the bay, which prompts follow-up calls and lost time. I like what the alerts accomplish and have seen real gains, yet the friction around editing schedules and cleaning up false positives keeps this from being a smooth tool - torn between useful and annoying.
